Data and team steps — save, tag, call APIs, hand over

🤖 Automation & flow builderLevel: Intermediate⏱ 12 min

🎯 Goal

Turn conversations into data, connect your other tools, and bring in a person at the right moment.

🧰 What you need

  • A flow open in the builder

Remember a value for later steps: Name lead_source, Value instagram (variables allowed, e.g. {{city}}-{{budget}}). Save on the contact (else this run only) is on by default; switch it off to keep the value for this run only.

Adds a tag, or removes it with the remove switch. Example: tag hot-lead when budget > 50,000. Tags can start other flows (A tag is added trigger) and filter campaigns.

Set the contact’s Name (optional) and any custom fields in one step (+ Field adds a row). Example: name = {{answer_name}}, city = {{city}}, stage = qualified. To create a brand-new field, use + Field beside a field picker or Add field in the top bar.

Copies the customer’s number into a field (default whatsapp_number). Handy before an HTTP request or a Sheets row.

Calls any API: Method (GET, POST, PUT, PATCH, DELETE), URL (variables allowed), Headers, Body (JSON, optional) (not for GET). Under Save from the response, map paths like data.status or items.0.name to variables. Only public servers are allowed, with a 10-second timeout. Exits: success (a 2xx answer) / failed (anything else, optional).

Example body
{ "phone": "{{phone}}", "name": "{{name}}", "interest": "{{interest}}" }

Example: POST the lead to your CRM, then map data.id → crm_id. On failed, notify an agent.

The Webhook out action is the same step pre-set to POST. An empty body sends the contact and this run’s answers.

Appends a row to a Google Sheet through a small Apps Script web app, so no Google login is shared with us.

  1. In your Sheet: Extensions → Apps Script, paste the script shown in the step, then Deploy → Web app (access: anyone) and copy the URL.
  2. Paste it into Apps Script web app URL.
  3. Map columns to values: Name → {{name}}, Phone → {{phone}}, City → {{city}}. The column names must match the header row of your Sheet; the script fills each column by its header.

Exits: success / failed.

Assign to: Next available agent (round-robin), Team: … (round-robin inside the team, see Agents and teams), or a specific agent.

  • Only agents who can open this chat’s number (and whose role can see the inbox) are picked. Round-robin and teams also skip agents who are not available.
  • A named agent who has no access to the number is skipped.
  • If nobody is eligible, the chat stays unassigned, gets an internal note, and the owner sees an alert in the panel. It is never handed to someone who cannot open it.

Pauses the bot on this chat for 12 hours and passes it to people. Optionally sends a Message before handing over (Connecting you with our team — someone will reply shortly.) and assigns it (Hand to: Anyone (unassigned), Next available agent, a team or an agent; the same access rules as Assign). This step ends the flow.

Put a Business hours check before it, so customers at night hear when someone will answer.

An internal note in the chat, for the team only: Lead from Instagram ad, budget {{budget}}.

A panel alert: Notify Everyone online, The assigned agent or A specific agent, with a message such as New wholesale lead: {{name}} ({{phone}}).

Sets the conversation to Open, Pending or Resolved. Example: resolve the chat after an FAQ answer, or set it to Pending while waiting for documents.
