Tutorial: capture leads into Google Sheets

🎯 Goal

Every enquiry becomes a qualified lead in your Google Sheet in real time, and your sales team is alerted to the hot ones.

🧰 What you need

• A Google Sheet
• A connected number

Step 1: prepare the Sheet

Create a Sheet with the header row Name, Phone, City, Requirement, Budget. Then Extensions → Apps Script: paste the script shown in the builder’s Google Sheets: add row step, Deploy → Web app (access: anyone), and copy the URL.

Step 2: start the flow

Automation → Templates → Lead capture, or New chatbot. Click the Trigger card → Match keyword enquiry, quote, price, details, Match: Contains. Also connect your click-to-chat link code, for example INSTA.

Step 3: ask the questions

1. Ask question “May I have your name?” → Save the answer to lead_name (Any text). Answers are saved on the contact too.
2. Ask question “Which city are you in?” → city.
3. List “What are you looking for?” with rows Retail, Wholesale, Corporate gifting. Then Save variable requirement = the chosen row on each branch.
4. Ask question “Your approximate budget in ₹?” → budget, Answer must be: A number.

Step 4: qualify

Condition: Field / answer budget greater than 50000 → yes: Set / remove tag hot-lead + Notify agent Everyone online: 🔥 Hot lead: {{lead_name}} ({{phone}}), {{city}}, ₹{{budget}}; no: continue.

Step 5: save and confirm

1. Google Sheets: add row: paste the web app URL and map Name → {{lead_name}}, Phone → {{phone}}, City → {{city}}, Requirement → {{requirement}}, Budget → {{budget}}.
2. Update contact: name = {{lead_name}}.
3. Send message: Thanks {{lead_name}}! Our team will call you within 1 working hour. 🙏
4. Set chat status → Pending.
5. Connect failed (Sheets) → Add note “Sheet row failed — copy the details by hand”.

Step 6: test and publish

Test the whole path, click Check, then Publish, then send enquiry from your phone and watch the row appear.

Tip

Long forms? Replace steps 3–4 with a WhatsApp Flow Lead form, and use the Form submitted trigger for steps 4–5.
